Reunion Meeting Minutes - October 02, 2010

CHS '60 Reunion Committee Saturday October 2, 2010  Meeting begun a 1 PM at
Emily's  3150 E. Linden

Attendance – Emily Morrison, Jim Klein, Pete Read, Lynn Dearden, Toni         
Hilliard, Helen Potucek, Nina Paris, Terry Waters, Glenda Anderson, Wallis Downer,
Leslie King.

Minutes  - Approved before posting earlier

Treasurer's Report – Emily announced that as of Sept 27th our balance on hand,
including donations, was $18,390.56.  $2,880 added today

Underwriters – Amanda’s Report indicated Underwriting of $5,691 from  47
people.  Terry added that  as of 10/2 there were $218 included from Donations
made in Registration.

Registrations - Terry Reported

  • Registration that 211 people are coming to date.  137 grads and 74 Guest; 33
    graduates have indicated they would like to volunteer  (Emily will work from
    Terry’s list and line them up)
  • Friday BBQ – 185 (plus 4 registering at the meeting)
  • Saturday dinner – 174 (plus 4 at the meeting)
  • Letterman's Breakfast – 9 to date – and David Berg a maybe
  • Golf & Tennis – No interest so far

  • Bus Tour –Maxed out at 52, and need to be prepared to give refunds at
    Registration, for any from now on
  • Reunion Book & Memory Book order – 133 + 3 on Oct. 2nd
  • Poker – So far mostly ‘maybe’s’

Hotel Update  - It was agreed the Junior Suite should go to JoAnn and the
Hospitality sleeping room will go to Helen - Hospitality Room co-chair. And the
Saturday dinner moved to a Ballroom- with a dance floor in the Middle surrounded
by table for 8 (the preferred size. Nina was authorized  up to $800 for center pieces,
and it was agreed that one person at each  table could find a star and take home a
bouquet.  

Hospitality Suite - Helen & Emily

Volunteers –Terry is providing Emily with names to call, to assign to jobs identified
earlier.

Arrival Registration – Glenda will oversee this area, and arrange to move  the
station as needed to various events. She and Terry are working on the items to
include in the packet.  It was agreed Amanda’s questionnaire would be handed to
them to fill out before leaving Registration, & pencils will be available.

Friday Night BBQ - Amanda has indicated she and Susan McDonald have the
decorations ready, and that they will not include flowers.  Glenda and Karl are
prepared with the music and sound system needed

Poster Board – Toni reported that she had had very little to work with until  Terry
brought her a packet of materials to scan from Marli Kress

Game Show - Pete & Emily reported they are working with Dean Zimmerman, and
they have had one rehearsal and plan another Oct. 18th.  Props and prizes have
been collected & we’ll use the Hospitality Suite, finishing up in time to board for the
Bus Tour.

Bus Tour, Lunch & School Tour - Jim K. gave an overview of the bus route, and
Emily confirmed reservations with Las Margaritas and the bus company, as well as
the VP at Catalina – for the Tour.

Saturday Night Decorations – Nina will work with Glenda and Clyde, at the hotel.
with regard to the number of tables, and their size.   She was authorized up to $800
for costs – and is still scouting for the florist.  It was agreed that one person per table
would ‘win’ the center piece to take.

Mic and speakers – Glenda was authorized to rent a sound system for Saturday
night in the ballroom. She will ask Karl about providing back-
      
Greeters
– Wallis – lined up 6 Committee Members for half hour shifts to serve as
greeters by the registration table

MC, Awards & Program – Amanda asked that we propose names to co-host on
Saturday. Emily will call  Gerry LaBelle.  If he does not accept Don Fones witll be
asked, and then Ted Morrison

Music - Friday & Saturday – Glenda reported that she has the music.

Group Picture – Helen will reconfirm with the photographer about the group photo –
as the committee recommended changing the time to immediately after dinner – in
the same spot by the ballroom.  The lighting needs may have changed now that the
numbers are so great.  She will also take candids and make a CD available.  

Reunion Book - Lynn D. indicated that the Book Committee may be interested in
buying photographer’s  CD to use some of her images.  She also reported that Jill
and Barb Brown will take a picture of every table and get all the names – for use in
the Reunion Book  

Sunday Picnic – Nina indicated that she will set up the day before, tho’ not to
provide actual seating for 73 people.  We were asked to bring chairs and ice chests
with ice, she will arrange for the supplies (plates, cups, etc.) It was mentioned that
Susan Cooper has offered to be of help Sunday. Helen & Emily will see to it that any
hospitality Room leftovers are brought to the picnic, and Nina will have the wine
glasses from the 40th out.

Memory Book  - Emily, Jim K &  Jim N – Lynn reported that Jim N. would like a
count for the Memory Book order by Friday. Emily will get the last  figure from Terry
after the mail and sent the number on to Jim N.

The meeting was adjourned at 3:02 but not date was selected for the Wrap Up
meeting.
